INTELLIGENT MINDSACCOUNTING SOLUTIONS & CONSULTING
TECHNOLOGY, AUTOMATION & AI

Connect your systems.
Give your time back.

The right tools make a difference. Knowing how to configure them—and how to account for the information they share—makes them useful. We set up nonprofit accounting software, connect it, and put modern automation to work with an accountant’s oversight.

A PRACTICAL EXAMPLE

Donation data shouldn’t
need a second entry.

When a donor platform and accounting system don’t connect directly, an API integration may bridge the gap. We assess access, map the information, and design a workflow to bring donation activity into the accounts.

Availability depends on each platform’s API access, permissions, and data. Scope is assessed before implementation.

01

Understand the source

Review your donor platform and available data.

02

Connect the information

Map donations and configure a supported integration.

03

Keep oversight in place

Review accounting entries and the resulting reports.

AI

AI in nonprofit
accounting.

AUTOMATION WITH JUDGMENT

Modern accounting and spending platforms now use AI to match receipts, suggest how transactions should be coded, and speed up bank reconciliation. Used well, these features cut hours of manual entry. Used without review, they can put donations and expenses in the wrong fund. We help you set them up for nonprofit accounting and keep a CPA’s review in the process.

  • AI-assisted receipt matching and expense coding
  • Bank rules and suggested transaction categories
  • Automated payroll, spending and donation entries
  • Review steps so restricted funds and programs stay accurate

Choosing the right
nonprofit software.

SOFTWARE SELECTION

Many nonprofits outgrow desktop software, spreadsheets, or tools that don’t talk to each other. We look at what you use today, what it costs in time, and what a connected, cloud-based setup would look like for your organization.

  • Review of current accounting, payroll, spending and donor tools
  • Moving to cloud accounting
  • Implementation planning and setup
  • Training for staff who use the systems

Automation with
an accountant’s judgment.

Faster data entry is only useful when the accounting makes sense. We combine platform knowledge with nonprofit expertise to reduce repetitive work while keeping oversight in the process.

SOFTWARE & AI QUESTIONS

Before we talk.

Can you work with our donor platform?

We assess the platform’s API access, permissions, and data to determine what can be connected. Custom integrations are scoped after that review.

Do we have to change accounting software?

Our accounting approach is built around Xero. If payroll is included, we use Gusto, and Ramp is the preferred spending and receipt platform. We’ll discuss current tools and proposed changes during discovery.

Is AI safe to use for nonprofit accounting?

AI features are useful for repetitive work like matching receipts and suggesting categories. They still need review, especially for restricted gifts, grants and program allocations. We set up workflows where automation does the first pass and the accounting is checked before reports go to leadership.
