ACCOUNTING & BOOKKEEPING

Work with a CPA who understands nonprofit transactions, programs, and restricted funds. Your scope is shaped around the support your organization needs.

  • Transaction categorization and general ledger management
  • Bank activity and donation accounting
  • Monthly reconciliations and close
  • Program, campaign, and restricted-fund tracking
  • Payroll processing through Gusto and allocation support
  • Form 990 preparation and filing, as applicable
02

Restricted funds
and grant tracking.

FUND ACCOUNTING

Nonprofits report net assets with donor restrictions and without donor restrictions. That means every gift needs to be recorded with its restrictions, and every restricted dollar tracked as it is spent. We set up your books so funds, grants and campaigns can be followed from the gift to the expense.

  • Donor-restricted and board-designated funds
  • Grant income and spending by grant
  • Release of restrictions as funds are used
  • Program, management & general, and fundraising expense allocation
03

Payroll and
Form 990 support.

COMPLIANCE

Payroll runs through Gusto, with the accounting connection configured so wages are allocated to the right programs and funds. At year end, your books are organized for the Form 990, which reports far more than income and expenses, including functional expenses and governance information.

  • Payroll with program and fund allocations
  • Functional expense reporting for the Form 990
  • Form 990 preparation and filing, as applicable
  • Year-end schedules for your auditor or reviewer

NONPROFIT ACCOUNTING QUESTIONS

Before we talk.

Do you only do nonprofit accounting?

Yes. Intelligent Minds works exclusively with nonprofit organizations, with a local focus on San Antonio. Churches and religious organizations are one part of that focus.

How is nonprofit bookkeeping different from business bookkeeping?

Nonprofits track donations by restriction, report expenses by function (program, management and general, fundraising), prepare a Statement of Financial Position and Statement of Activities instead of a balance sheet and income statement, and file a Form 990. The books need to be set up for all of that from the start.

Do we have to change accounting software?

Our accounting approach is built around Xero. If payroll is included, we use Gusto, and Ramp is the preferred spending and receipt platform. We’ll discuss current tools and proposed changes during discovery.

How does pricing work?

Pricing is flat-rate for an agreed scope. We discuss your accounting needs, workflows, and budget before proposing an engagement.
